The Executive Assistant is responsible for providing senior leadership with administrative support. This challenging role requires someone who is confident, intellectually curious, and service driven, with exceptional organizational skills, and the poise and professionalism to engage with the Chief Accounting Officer, senior Accounting and Finance staff, and suppliers. You will work on a variety of complex and varied duties within the communications and marketing disciplines, analyzing situations, and using your strong initiative to prevent and resolve problems. This role also provides an opportunity for a candidate interested in a career in communications and marketing to grow as a coordinator, leverage strong writing and project management skills. 

 

What You’ll Do

  • You will support the finance organization including the Chief Accounting Officer and other members of the Accounting and Finance departments at Equifax headquarters at 1550 Peachtree Street.

  • Provide project management support for events, specialized projects and announcements.

  • May produce reports for management meetings utilizing text, data, and graphics.

  • Maintains executive's calendar by planning and scheduling meetings, conferences, teleconferences, and travel. This can include frequent and complicated travel arrangements.

  • Maintains office supplies; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; sets up purchase orders for supplies and other spend asked for by Accounting leadership and ensures appropriate handling of vendor invoices when received; verifying receipt of supplies. Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.  

  • Complete requested business errands such as obtaining catering, ordering office supplies, circulating mail, handling overnight deliveries, processing expense reports, coordinating machine maintenance and coordinating employee set up and moves.

  • Assist accounting team process owners carry out tasks including sorting and routing of correspondence, completion of mail/overnight mail requests, perform general research in Equifax’s accounting system to assist team members accomplish these tasks.

  •  Assist in maintaining Global Accounting team communications and internal websites.

  •  Work with sensitive information with absolute discretion and manage a high volume of details with efficiency and accuracy.


 

What Experience You Need

  • A minimum of 5 years of recent experience in executive administrative support of senior leaders at technology, software, and/or new economy companies

  • A minimum of 5 years of experience with MS Office and/or Google-based applications (Google Suite, Docs, Sheets, Slides, Meet, etc.)

  • A minimum of 5 years of experience with coordinating complex calendars and the ability to manage competing priorities

  • A minimum of 5 years of experience planning and arranging meetings, conferences, and large events for staff and visitors
