The Legal Operations Project Manager is responsible for outside counsel invoice management, project facilitation, reporting and cross-functional, intra-Legal support for the U. S. Legal Department. As the system administrator of the eBilling application (Legal Tracker), manages all aspects of e-billing (vendor management, enhancements, monitoring and reporting, and invoice, payment and dispute resolution), and collaborates with attorneys and others to ensure timely invoice submission and payment of law firm invoices. The Legal Operations Project Manager supports the U. S. Legal Operations Leader by participating in technology driven projects, and other projects focused on operational and organizational challenges.
This role reports to the Senior Manager of Legal Operations and will be a hybrid workplace model offering the flexibility to work remotely as well as in our newly-renovated global corporate HQ building in Midtown! (This is not a fully remote role)
What You'll Do:

Serving as the eBilling Application (Legal Tracker) System Administrator, coordinating and administering all facets of outside counsel billing, payment and resolution

Implementing enhancements, maintenance and billing guidelines

Managing and monitoring numerous integration points into and out of Legal Tracker

Onboarding new law firms and consulting with internal stakeholders to ensure proper matter management

Collaborating with attorneys and external firms to track and resolve invoice disputes

Monitoring invoice approval workflows to ensure timely processing

Effectively communicating, coordinating and consulting with other internal stakeholders, including: Finance, Vendor Onboarding, Accounts Payable and other System Application Owners to develop solutions and resolve ongoing challenges

Preparing spend and analytic reports for leadership

Leading or participating in multiple Legal Operations projects, as assigned
What Experience You Need:
-
Experience overseeing electronic third party billing applications is required, as well as the ability to understand complex billing guidelines, analyze, track and resolve e-billing issues

3+ years of legal billing experience in a law firm is preferred

Bachelor’s Degree
-
Excellent interpersonal skills, ability to prioritize, work efficiently under pressure, build relationships across multiple disciplines, and handle challenges in a professional manner

Proactive in attacking problems and driven to seek improved business processes

Technical literacy and competencies across numerous software platforms, with working knowledge of Google Suite and/or Microsoft Word and Excel

Strong analytic skills with ability to interpret complex information and adapt it as needed

Proficiency in time management skills required to manage and support diverse and concurrent projects
What Could Set You Apart:

Formal Project Manager experience is desirable, but not required

Experience using ebilling system, Legal Tracker, would be a big plus
